Privacy Policy

This policy explains what information Fleet-Record collects, why, and the choices you have. Fleet-Record is a WhatsApp-based service by Digital Seller (digital-seller.shop), operated by Akshay Panawlkar (proprietor) in India, that tracks vehicle document expiry dates and sends reminders. “We” and “us” below mean Digital Seller.

1. Information we collect

WhatsApp details: your WhatsApp number, WhatsApp profile name and your chosen language.
Vehicle details: vehicle registration numbers you send us, and document information for those vehicles — expiry dates of insurance, fitness certificate, PUCC, permit, road tax and registration validity — along with where and when we checked it.
Messages: the messages and button choices you send to our WhatsApp number, and delivery status of the messages we send you.
Payment details: the plan you choose, the amount, and the UPI transaction reference (UTR) you send us. We never ask for or store your UPI PIN, bank account login, card details or passwords.

2. Where the information comes from

From you (for example, the vehicle numbers you send), and from permitted public sources such as the Government of India's Parivahan / mParivahan services, which we check manually to verify document dates. Screenshots used for verification are read on our administrator's own device and are not uploaded to or stored on our servers.

3. How we use it

To verify your vehicles' document dates and show you their status.
To send document expiry reminders and verification results on WhatsApp.
To manage your trial or plan, and to confirm your payments.
To reply to your requests and keep the service working and secure.
To measure the service in aggregate (for example, number of reminders sent).

We do not sell your information, and we do not use it to send you third-party advertising.

4. Consent and your choices

We ask for your consent (by sending YES or tapping I agree) before we store your vehicle details. You can send STOP at any time to stop reminders and withdraw consent, and START to turn them on again.

5. Who we share it with

Only with service providers we need to run Fleet-Record, under their own terms and security practices:

Meta (WhatsApp Business Platform) — to send and receive WhatsApp messages.
Cloudflare — hosting and database for our service.
DeepSeek — our AI assistant. When you write a free-text question, the message text and basic account status (plan, number of vehicles) are sent to DeepSeek to draft a reply. We do not send your phone number, name or vehicle numbers. DeepSeek may process this data outside India. Recent assistant conversations are deleted after 7 days.
Telegram — private notifications to our administrator (for example, a new vehicle to verify or a payment to confirm). These contain your customer number, name, WhatsApp number, vehicle numbers and payment reference.

We may also disclose information if required by law or by a lawful request from a government authority.

6. Storage and security

Your information is stored in our cloud database (Cloudflare). Access is limited to our administrator, connections use HTTPS, and the admin tools use signed, time-limited links. No system is perfectly secure, but we take reasonable steps to protect your information.

7. How long we keep it

We keep your information while you use Fleet-Record. If you ask us to delete it, we will delete your vehicle and reminder data within 30 days. We may keep payment records for as long as the law requires (for example, for tax and accounting).

8. Your rights

Under applicable Indian law, including the Digital Personal Data Protection Act, 2023, you can ask us to access, correct or delete your personal data, withdraw consent, and raise a grievance. Send your request on WhatsApp to our number below. If you are not satisfied with our response, you may approach the Data Protection Board of India.

9. Children

Fleet-Record is meant for vehicle owners and businesses. It is not intended for anyone under 18.

10. Changes

We may update this policy. We will change the date below and, for important changes, inform you on WhatsApp.
